SharePoint: new archiving process for older ZIP, RAR and 7Z files

Group 1 min read

As from next week, BESIX will gradually archive older ZIP, RAR and 7Z files stored in SharePoint. This will reduce the cost of storing inactive content without deleting it. For users, there is one important change: an archived file must be reactivated before it can be opened, and this may take up to 24 hours.

What will happen?

The archiving process will be introduced gradually:

  • Wave 1: ZIP, RAR and 7Z files not modified for more than three years
  • Wave 2: files not modified for more than two years
  • Wave 3: files not modified for more than one year

The process is automated. Files will be transferred from active SharePoint storage to Microsoft 365 Archive. They will not be deleted, their location in SharePoint will remain the same, and existing permissions will not change.

What changes for you?

An archived file remains visible in SharePoint and can be identified by the archive icon next to its name. However, it must be reactivated before it can be opened.

To access an archived file:

  1. Select the file in SharePoint.
  2. Open the context menu.
  3. Select Reactivate.
  4. Confirm the request.
  5. Open the file once reactivation is complete.

You will receive an email when the file is ready. Recently archived files can be reactivated immediately. Files archived for more than seven days may take up to 24 hours to become available.

This information is valid for all users across the group, except users at Vanhout & Watpac who are still in another SharePoint environment.
